Administration/Centre Manager
Job brief
The manager’s role involves administering the teacher training course (CTC), the activities of the Trust, and the premises. This includes dealing with correspondence (mainly by email), invoicing, paying bills, banking, attending trustee meetings and writing the minutes, updating websites, dealing with room bookings and workshops, organising various activities around the Trust’s Parkinson’s initiative, and looking after the premises. Approximately 12-14 hours per week during term time (fewer hours outside term times), at £15 per hour. Knowledge of the Alexander Technique and sound computer and internet skills essential. Training will be given, starting in March. Apply by 21 February.
The ideal candidate will be competent with administrative skills and able to work with little supervision. He or she will be self-motivated and reliable, and have excellent communication and organisational abilities.
The work can be divided between two people.
Training is given but basic computer skills (Apple Mac), bookkeeping procedures, and familiarity with software such as Word, Excel, etc. is a must.

Details of Responsibilities
Accounts and bookkeeping
- Issue student invoices
- Issue room hire invoices
- Collect payments
- Pay in cheques and cash to the bank
- Pay bills
- Input teachers’ hours and pay teachers’ salaries
- PAYE with HMRC
- Calculate VAT and submit VAT report to HMRC
- Update spreadsheets of all transactions across all accounts
- Enter all transactions into accounts programme (this aspect could be outsourced)
- Email spreadsheet to a trustee (monthly)
- Prepare annual account reports for UHYoung, transport accounts to UHY, liaise and answer questions for UHY
Property administration
- Pay service charges (twice yearly)
- Pay Information Commissioner’s Office (annually)
- Organise and pay Insurance (Russell Scanlan, annually)
- Organise and pay Fire alarm inspection (twice yearly)
- Organise Fire extinguisher inspection (annually)
- Organise occasional repairs and maintenance (e.g. electricity, BT internet faults)
- Monitor electricity consumption
- Buy office and cleaning material as needed
Timetable
- Organise groups and private lessons (with the Director of the training course, Ruth)
- Prepare term times three years in advance
Students
- Update student list
- Update STAT’s student list
- Write Council tax letters
- Register students with TFL (Innovator)
- Student letters for membership of ISIS and NUS
Room hire
- Organise and update room booking sheets
- Dealing with inquries and meet with potential room hirers
- Organise keys where necessary and room hire contracts
- Ensure rooms are ready for workshops
- Marketing/Advertising rooms
Websites and Facebook
Update:

(Note: at present we are negotaiting whether to move to another online website system than WordPress, but at time of going to press we don’t know the timetable for this.)
Workshops
Organise workshops (3-4 per year):
- contact potential teachers (note: many teachers contact CTC themselves)
- negotiate terms and conditions, descriptions, pictures
- advertise (website, social media, email newsletter, STAT etc.)
- take bookings and payments
- open up and lock up on workshop days
Other:
- Respond to all enquiries re the training course
- Respond to visiting teachers’ enquiries
- Organise, write, design printed publicity material (posters, flyers, etc.)
- Update computer software
- Attend Trust meetings (4-5 times a year)
- Write and circulate Trust minutes
- Deal with inquiries concerning the archives, copyrights, etc.
- Manage book sales
Parkinson’s Project:
Liaise with teachers involved, organise and advertise workshops at IW premises, design, send and analyse (online) surveys.
